Privacy Policy

1. Who we are

Epic Impact Media ("Epic Impact Media," "we," "us," or "our") provides local search and AI-visibility services — Google Business Profile management and generative engine optimization (GEO) — for service businesses in the Research Triangle area of North Carolina.

This Privacy Policy explains what information we collect through epicimpactmedia.net (the "Site"), our forms, our text-message program, and the course of providing our services; how we use and share it; how long we keep it; and the choices you have. It applies to visitors to the Site, people who request our free Visibility Scorecard, and our clients.

2. Information we collect

Information you give us. When you request a free Visibility Scorecard, contact us, book a call, or complete an intake form, we collect the information you submit — typically your name, business name, town or city, email address, and phone number, along with any message, comments, or details you choose to include. If you become a client, we also collect the information needed to perform the services (for example, business details and the access you grant us to your Google Business Profile).

Information collected automatically. Like most websites, we and our service providers automatically collect limited technical information when you visit the Site — such as your IP address, general location inferred from that address, browser and device type, referring page, the pages you view, and the date and time of your visit — using cookies and similar technologies (see Section 6).

Email engagement. Emails we send may contain a small tracking pixel and tracked links that tell us whether an email was opened and whether links were clicked, so we can tell whether our messages are useful.

Text-message information. If you opt in to receive text messages from us, we collect your mobile number and records of your consent, the messages exchanged, and your opt-out requests (see Section 5).

Payment information. If you purchase a paid plan, our payment processor (Stripe) collects your payment details directly. We do not receive or store full payment card numbers; we may receive limited transaction information such as the last four digits, card brand, and whether a payment succeeded.

We do not ask for or intentionally collect sensitive personal information such as Social Security numbers, government ID numbers, financial account numbers, health information, or information revealing race, religion, or other protected characteristics.

3. How we use your information

We use the information we collect to:

  • prepare and deliver your free Visibility Scorecard;
  • respond to your inquiries, schedule calls, and provide, maintain, and improve our services;
  • send service-related messages (such as scorecard delivery, onboarding, reporting, and billing);
  • send, where you have opted in or as otherwise permitted by law, occasional informational or marketing emails and text messages;
  • operate, secure, analyze, and improve the Site and our services;
  • process payments and keep business, accounting, and tax records; and
  • comply with legal obligations, enforce our agreements, and protect our rights, our clients, and the public.

We rely on your consent (for marketing emails and texts), the performance of our contract with you (to deliver services you request), and our legitimate business interests (to run, secure, and improve our business) as the bases for these uses.

4. How we share your information

We share personal information only as described here. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

Service providers. We share information with vendors that process it on our behalf to run our business, under contracts and their own privacy policies. Our primary service providers are:

  • GoHighLevel / LeadConnector — our CRM, website and forms, scheduling, email delivery, and text-messaging platform;
  • Google — Google Workspace (business email) and Google Business Profile tools used to deliver our services; and
  • Stripe — payment processing for paid plans (Stripe collects payment details directly).

We also use vendors that support hosting, analytics, and communications. A current list of our key service providers is available on request at [email protected].

Legal and protective disclosures. We may disclose information if we reasonably believe it is required by law, subpoena, or legal process; to enforce our agreements; to detect, prevent, or address fraud, security, or technical issues; or to protect the rights, property, or safety of Epic Impact Media, our clients, or others.

Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

Text-message data. No mobile information collected through our text-messaging program is sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Aggregated or de-identified data that cannot reasonably identify you is not subject to these sharing restrictions.

5. Text messages (SMS/MMS)

If you provide your mobile number and opt in — for example, by checking the consent box on a form — you agree to receive text messages from Epic Impact Media related to your inquiry, your scorecard, your account, and (where you have agreed) occasional updates.

  • Consent is not a condition of purchase. You do not have to agree to receive texts in order to buy anything from us.
  • Message frequency varies. Message and data rates may apply based on your mobile plan.
  • Opt out at any time by replying STOP to any message, or by contacting us at [email protected] or (919) 228-9353. We honor opt-out requests made by any reasonable method and will stop marketing texts promptly. Reply HELP for help.
  • Carriers are not liable for delayed or undelivered messages.

We handle text-message consent consistent with the Telephone Consumer Protection Act (TCPA) and carrier requirements.

6. Cookies and similar technologies

The Site uses cookies and similar technologies for three purposes: (a) essential functions that make the Site and forms work; (b) analytics that help us understand how the Site is used; and (c) email pixels that measure email engagement as described in Section 2.

We do not currently use cookies to build advertising profiles or to serve cross-site targeted ads. Most browsers let you block or delete cookies through their settings; if you disable cookies, some parts of the Site may not work properly. Where your browser sends a Global Privacy Control (GPC) or "Do Not Track" signal, we do not sell or share data for targeted advertising in any event.

7. Data retention

We keep personal information only as long as we need it for the purposes described in this Policy, then delete or de-identify it. In general:

  • Prospect and marketing leads (including scorecard requests that do not become clients): kept while the relationship is active and for up to 24 months after your last interaction with us, unless you ask us to delete it sooner.
  • Client records: kept for the duration of the engagement and for up to 7 years afterward to meet tax, accounting, and legal requirements.
  • Text-message consent and opt-out records: kept as long as needed to honor your preferences and demonstrate compliance.
  • Website and email analytics logs: kept for a limited period consistent with our service providers' standard retention.

We may keep information longer where required by law or to establish, exercise, or defend legal claims.

8. Your choices and rights

You always have these choices:

  • Marketing emails: unsubscribe using the link in any marketing email.
  • Text messages: reply STOP (see Section 5).
  • Access, correction, or deletion: you may ask us to access, correct, update, or delete the personal information we hold about you.

To make a request, email [email protected]. We will verify your request reasonably and respond within the time required by applicable law.

State privacy laws. North Carolina does not currently have a comprehensive consumer data privacy law, so North Carolina residents do not have comprehensive statutory data-subject rights (such as a statutory right to access or delete) at this time, though other North Carolina laws — including the Identity Theft Protection Act — provide certain protections such as breach notification and security-freeze rights. We honor the access, correction, and deletion choices above as a matter of practice regardless of where you live. If you are a resident of a state with a comprehensive privacy law (such as California, Virginia, Colorado, Connecticut, or others) and that law applies to us, you may have additional rights — including to know, access, correct, delete, and opt out of sale/sharing or targeted advertising — and the right not to be discriminated against for exercising them. Because we do not sell personal information or use it for cross-context behavioral advertising, there is no such activity to opt out of. To exercise any right that applies to you, contact us at the address above and we will honor it to the extent the law requires.

9. How we protect your information

We use reasonable administrative, technical, and physical safeguards appropriate to our size and the sensitivity of the information, and we rely on the security programs of our service providers (such as GoHighLevel, Google, and Stripe). No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security breach affecting your personal information occurs, we will notify you and any authorities as required by the North Carolina Identity Theft Protection Act and other applicable law.

10. Children's privacy

The Site and our services are intended for business owners and are not directed to children under 18, and specifically not to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Third-party links and platforms

The Site and our communications may link to third-party websites and platforms (for example, Google, Stripe, or our social profiles). We do not control and are not responsible for the privacy practices of those third parties. Review their privacy policies before providing information to them.

12. Changes to this Policy

We may update this Privacy Policy from time to time. When we make a material change, we will revise the "Last updated" date above and post the new version on this page. Your continued use of the Site after an update means you accept the revised Policy.
